Who we are
Flavia Catena Photography is a weddings and events photography business based in London, United Kingdom. Our website address is https://fcweddings.co.uk.
We are the data controller for the personal information described in this policy. You can contact us at:
What information we collect and why
Contact form / email enquiries. If you use our contact form or email us directly, we collect your email address and the contents of your message. We use this information to respond to your enquiry, discuss and arrange the photography services you’ve requested, and — where relevant — to keep as a record in case you contact us again in future (for example, to book us for a future event, or to follow up on a previous booking). We do not collect any other personal information through the contact form.
The lawful basis for this processing is:
- Contract — where we’re corresponding about a booking or service you’ve engaged us for.
- Legitimate interests — where we’re keeping a record of past enquiries or clients so we can respond helpfully if you get back in touch. We consider this a reasonable and low-impact use of your information, and you have the right to object (see “Your rights” below).
Website analytics. We use Google Analytics to understand how visitors use our website. This involves setting cookies on your device and sharing some data with Google. We only do this with your consent, which you can give or withdraw at any time using the cookie banner on our site. See “Cookies” below for details.
Cookies
We use Google Analytics to help us understand how visitors use our website. Cookies are only set once you’ve given consent through our cookie banner. You can change or withdraw your consent at any time via the cookie settings link in our website footer. We do not use any cookies for advertising, retargeting, or cross-site tracking.
Photos used for our portfolio and marketing
With your explicit consent, we may keep and use photos from your wedding or event to show in our portfolio — for example on our website, social media, or other marketing materials.
- We only use photos this way where you’ve separately agreed to it (for example, via a consent form or written agreement at the time of booking) — this is not automatic or assumed from booking our services.
- You can withdraw this consent at any time by contacting us at flaviacatenaphotography@gmail.com. If you do, we’ll stop using the photo(s) going forward and remove them from our own website and social media accounts. Please note we can’t guarantee removal from third-party platforms’ caches, or from any copies already shared or downloaded by others before withdrawal.
- We’ll keep photos used for this purpose until you withdraw consent, or until we no longer need them for portfolio/marketing purposes, whichever is sooner.
- Withdrawing consent doesn’t affect the lawfulness of any use of your photos before you withdrew it.
Who we share your data with
We don’t sell or share your personal information with third parties for their own marketing purposes. We may share limited information with:
- Our email/website hosting provider, Hostinger, who processes data on our behalf to deliver our email and website services.
- Brevo, an email delivery service we use to reliably send and receive emails from our contact form to our inbox. Brevo processes this data on our behalf and does not use it for its own purposes.
- Google, as part of our Google Analytics setup — see “Cookies” above.
We don’t transfer personal data outside the UK except where the above providers do so as part of their standard service (in which case they’re required to provide appropriate safeguards under UK GDPR).
How long we retain your data
We keep enquiry and booking-related emails for 5 years after our last contact with you, so we have a record in case you get in touch again or need to refer back to a past booking. After that period, we delete or anonymise the information unless we’re required to keep it longer for legal, accounting, or tax purposes.
You can ask us to delete your information sooner — see “Your rights” below.
Your rights
Under UK data protection law, you have the right to:
- Access the personal data we hold about you.
- Rectify inaccurate or incomplete data.
- Erase your data (“right to be forgotten”), except where we’re required to keep it for legal, accounting, or tax purposes.
- Restrict or object to our processing of your data, including processing based on legitimate interests.
- Data portability — receive a copy of your data in a portable format.
To exercise any of these rights, contact us at flaviacatenaphotography@gmail.com. We’ll respond within one month.
Complaints
If you’re unhappy with how we’ve handled your personal data, please contact us first at flaviacatenaphotography@gmail.com so we can try to resolve it — we’ll acknowledge your complaint within 30 days.
Changes to this policy
We may update this policy from time to time. Any changes will be posted on this page with an updated “last updated” date.
